The Veterinary Practice Manager (VPM) is responsible for ensuring the seamless operation of their ZippiVet location. The VPM works in conjunction with the management team to meet all budgetary, client satisfaction, and patient care goals as established by the management team. The VPM maintains a hospital culture consistent with ZippiVet guidelines and reports to the Director of Operations.
Assists Director of Operations with recruiting, interviewing, hiring, and retention of support staff.
Creates a functional support staff schedule to ensure optimal hospital workflow.
Supervises support staff personnel and assists the management team with disciplinary procedures, termination, and all the legal responsibilities of employment.
Assures that personnel are properly trained for their position.
Mediates all personnel problems, maintains employee motivation, and structures continuing education for support staff personnel.
Assists with the implementation of standard operating procedures and hospital protocols to maximize productivity and patient safety.
Responsible for ensuring that success is achieved during each client interaction with the veterinary hospital staff.
Oversight of building and equipment maintenance and adherence to established housekeeping standards.
Audits hospital personnel performance to assure that proper methods and techniques are being used.
: audits and approves timesheets each morning for the previous day(s) each working day.
Reviews established key performance indicators monthly, ensuring practice is operating within expectations of the management team.
Reviews and purchases supplies and equipment assuring that a periodic review is made to assure that optimal prices are obtained.
Has an interest in and understanding of the financial health of the practice.
Assists in the development and implementation of inventory management systems by establishing set reorder points, updating counts within the practice management software, and working in conjunction with the inventory specialist to ensure the hospital is stocked adequately for operations.
Maintains and manages controlled substances inventory for all practitioners.
In conjunction with the management team, performs quarterly physical count of all inventory items.
Promptly respond to any complaints in person or by phone. Work in conjunction with the veterinarian of record and Director of Operations to ensure client satisfaction is achieved.
Investigate negative reviews posted to social media platforms by auditing the EMR and conferring with all staff involved. Draft responses to negative reviews and post after approval by the Director of Operations.
Working in conjunction with iVet360, draft responses to positive reviews posted to social media platforms and post upon approval from the Director of Operations.
Run reports for Client Satisfaction Adjustments weekly and follow up with any clients that received the CSA to ensure all concerns were handled appropriately.
Maintains compliance with all regulatory authorities, including DEA, OSHA, TBVME, and DSHS.
Implementation and supervision of OSHA program.
Maintenance of Radiation Control Program and all associated policies and procedures.
Assists support staff with operational duties as needed during times of increased business or staff shortage.
Phones- make and receive phone calls as needed (follow-up and confirmation calls, patient status updates, appointment requests)
Exam rooms- assist DVMs by performing job duties of a veterinary technician (triage patients, administer vaccinations, prepare estimates, client education)
Surgical and dental procedures- assist DVMs with anesthetic induction, maintenance, and recovery of patients for surgical and dental procedures.
